What is an alignment fee (and why might you pay one)?

It’s time to switch accountants, or perhaps it’s time to start working with a practice for the first time as your business continues to grow! The monthly fee is understood in principle, and everything looks great. But suddenly there’s an “alignment fee” you weren’t expecting. This can be a surprise for clients who aren’t expecting it.

At Gravitate, and at most accounting practices, the fees you pay will be monthly based on an annual total that’s been split into twelve months. It’s not a rolling service charge, such as a software subscription.

What does an alignment fee mean? What does it pay for? Why is it sometimes necessary when moving to a new accountant?

What is an alignment fee?

In the context of an accounting relationship, an alignment fee is a one-off charge that covers accounting work for the period between when you first start with a new provider and the start of the next financial year. It makes sure ongoing monthly fees line up cleanly with your year-end.

Why might you pay an alignment fee?

At Gravitate, most of our accounting work is based on the annual fee total. This is because compliance work (the critical services like your annual statutory accounts and corporation tax returns) is tied to a fixed financial year. It isn’t tied to the date you sign up with your accountant.

Suppose you join Gravitate in month 4 of your current financial year; this means we will still need to produce a full year’s accounts and tax returns for you, and these will ned to include the months before you started working with us. The alignment fee is what pays for this work.

Without the alignment fee, 4 months of this would be unpaid work, and your billing would end up out of sync with your year-end. Neither is an ideal scenario!

Alignment fee: A worked example (4x £250)

Here are some numbers to make this easier to see. Please note that the below numbers are illustrative only – your own fees will depend on which services you select. You can see our full pricing on our pricing page.

For this example, your financial year runs from 1 April 2026 to 31 March 2027, and your annual fee is £3,000 (billed as £250 a month)

1. You join Gravitate on 1st August, when four months of your current financial year have already gone by.
2. Gravitate will be preparing your full twelve months’ accounts and full corporation tax returns in March. This will include the April-to-July trading that we weren’t here for.
3. This splits the year into two parts: eight monthly payments of £250 for the months you are with us, and a one-off alignment fee to cover the four months you weren’t (for this example, that would be £1,000).

As you can see, the total paid for the 12-month service period is the same. The alignment fee is not an additional £1,000 on top of your annual cost. It’s the part of the first years’ service that monthly payments do not cover.

When will an alignment fee not be needed?

There are a few instances where there may be no alignment fee to pay.

If you join up with Gravitate at the very start of the financial year, there will be no prior months to deal with for that year, so your monthly payments will cover the full period.

If you are setting up a brand-new company with no trading history, no accounting will be required for the months prior to that, as no trading took place and there is nothing to account for.

What the alignment fee is NOT

For absolute clarity, here are a few misconceptions about alignment fees that are worthwhile clearing up.

1. An alignment fee is not an admin/sign-up fee, like those which are added to baskets at checkouts online.
2. An alignment fee is not a penalty or early exit charge like consumers often get when switching service providers.
3. An alignment fee is not a way of quietly inflating the headline monthly price; it is not a hidden fee.

How can you sense-check your alignment fee?

Alignment fees are necessary, but it’s important for clients to have all the information they need to understand why they are being charged it and, indeed, whether it is correct!

Here are some questions to ask the accountant you are speaking to (if they don’t let you know up front):

• What period does the alignment fee cover?
• Does this add up to the same total as 12x your monthly fee as quoted?
• What are you getting for the fee (a good accountant should fully explain the fee to you before you reach the stage of needing to ask!)
• Can the alignment fee be spread over instalments?

Alignment fee FAQs

Is an alignment fee the same as an onboarding fee?

No. An onboarding fee pays for the administration of taking you on, setting up your file, running checks, and getting you into systems. An alignment fee pays for the actual accounting work.

Do alignment fees apply to all services?

No, alignment fees do not apply to all services provided by Gravitate. They are typically charged only for annual services, such as statutory year-end accounts, pre-year-end tax planning, corporation tax returns and self-assessment tax returns.

Alignment fees will not be charged on services like monthly management accounts or catch-up meetings. They also will not be charged for software subscriptions. This is because we won’t have provided those services prior to you joining us.

Do I have to pay the alignment fee upfront?

Not necessarily. Because the alignment fee covers a defined block of work and is not a deposit, it can be spread across your first few monthly payments instead of paid as a lump sum. At Gravitate, we allow clients to spread this fee over three months.

Can an alignment fee be waived or negotiated?

The alignment fee is based on your monthly fee multiplied by the months already elapsed in the current accounting period, so the calculation is tied to your monthly fee and overall billing for the year. This can be adjusted based on your needs as a client, but the alignment fee cannot be adjusted separately.

Do all accountants charge alignment fees?

No, not all accountants will charge alignment fees specifically. Some will bill hourly, for instance, and will simply invoice you for the catch-up work that the alignment fee would cover. The overall cost of the work, however, will be comparable either way.
